She needs to be supported with precision, ownership, and a level of competence that extends her capacity rather than adding to her load.
You are not a glorified scheduler. You are the person who makes everything work behind the scenes, who sees what's coming before it arrives, who handles the details she shouldn't have to think about, and who brings a level of order to her environment that lets her focus completely on strategy, relationships, and building.
You will work closely with one person. That closeness requires trust, discretion, and a natural ability to read the room not just follow instructions. The best version of this role is someone who operates like an extension of her intent, not a recipient of her instructions.
- Own her calendar entirely — scheduling, rescheduling, blocking focus time, and preventing fragmentation
- Manage the flow of meetings and engagements across business development, Janesmovement and personal commitments
- Ensure she arrives at every commitment prepared — briefed, not surprised
- Proactively flag conflicts, overcommitments, and unrealistic timelines before they become problems
- Filter and prioritize inbound messages across email, WhatsApp, and other channels
- Draft responses, follow-ups, and outreach where authorized in her voice, not a generic professional tone
- Ensure time-sensitive communications are never missed or delayed
- Manage relationships with vendors, collaborators, and contacts on her behalf
- Maintain a content calendar (what goes out, when, where)
- Organize recordings, captions, drafts, approvals, and posting workflow
- Build a simple repurposing pipeline (long-form → short clips → quotes)
Project Management Across the Founder’s Portfolio
You will track and drive progress across:
- Book development + launch prep (writing milestones, edits, assets, timelines)
- Speaking practice + opportunities (topic tracker, pitch follow-ups, recordings)
- Program/course production (curriculum assets, uploads, checklists, delivery schedules)
- Community/membership readiness (when/if needed)
- Collaborations + partnerships (proposals, scheduling, follow-up)
- Extremely organized: you naturally create order and keep it running
- Proactive follow-through: you close loops without being chased
- Calm under pressure: steady, emotionally mature, not reactive
- Strong writing: you can summarize clearly and draft messages well
- High discretion: confidentiality is non-negotiable
- Tech confident: Google Workspace + at least one project tool (ClickUp preferred)

Shortlisted candidates will complete a paid trial task: clean up a set of messy notes and voice note summaries, build a one-week plan and task tracker, and produce a one-page Founder Brief. You will be compensated for this. The trial is how we both decide if this works.
