Job Description
We are seeking to hire a
Executive Assistant (EA) / Personal Assistant (PA)
for our client to support the Group Managing Director (GMD)
.
This is not a traditional administrative role. We are looking for a "right-hand" partner with strong business acumen and a data-driven mindset. You will go beyond calendar management to synthesize complex data into actionable insights, ensuring the GMD’s office operates with maximum efficiency and strategic impact across our global operations.
KEY RESPONSIBILITIES
Executive Support & Office Management
- Manage the GMD’s calendar, appointments, travel, and daily workflow with precision and foresight.
- Prioritize and filter requests, ensuring the GMD’s time is allocated to the highest‑value activities.
- Prepare correspondence, presentations, reports, and briefing documents.
- Maintain confidentiality and handle sensitive information with discretion.
- Coordinate with internal and external stakeholders across multiple geographies.
Data Analysis, Reporting & Insight Development
- Collect, consolidate, and analyze operational, financial, and performance data from business units.
- Prepare dashboards, KPI trackers, and performance summaries for the GMD’s review.
- Identify trends, risks, and opportunities through data crunching and analytical interpretation.
- Translate raw data into clear insights, executive summaries, and decision‑ready recommendations.
- Support the GMD in evaluating business performance, strategic initiatives, and project progress.
Meeting Preparation, Facilitation & Insight Generation
- Prepare meeting agendas, pre‑reads, briefing notes, and background research.
- Attend key meetings with or on behalf of the GMD to capture minutes, action items, and follow‑ups.
- Develop post‑meeting insight reports summarizing discussions, decisions, risks, and strategic implications.
- Track action items across departments and ensure timely execution.
- Provide the GMD with synthesized insights to support strategic decision‑making.
Strategic & Operational Support
- Assist the GMD in monitoring strategic projects, transformation initiatives, and cross‑functional programs.
- Conduct research on industry trends, competitors, regulatory changes, and emerging opportunities.
- Support preparation for board meetings, investor engagements, and leadership forums.
- Serve as a liaison between the GMD’s office and senior leadership teams across global operations.
Personal Assistance
- Manage personal tasks, immediate personal & family travel, and logistics for the GMD as required.
- Coordinate personal appointments, events, and confidential matters.
- Ensure smooth integration of personal and professional commitments.
QUALIFICATIONS & EXPERIENCE
- Bachelor’s degree in Business Administration, Economics, Engineering, Finance, or related field.
- 5–7 years of experience supporting C‑suite executives, preferably in a multinational or manufacturing environment.
- Strong analytical and data‑interpretation skills; proficiency in Excel, Power BI, or similar tools.
- Exceptional communication, writing, and presentation skills.
- Ability to multitask, prioritize, and operate under pressure.
- High emotional intelligence, professionalism, and discretion.
- Strong organizational and project‑management capabilities.
