Job Description

The Finance Officer is responsible for the day-to-day processing, recording, and reconciliation of financial transactions. The officer ensures compliance with established financial policies and provides reliable accounting data to support the Head Accountant in financial reporting and control.
- Manage the billing, collection, and reconciliation of student tuition fees and related charges.
- Maintain accurate student financial records and ensure timely invoicing and receipting.
- Monitor outstanding balances and proactively follow up on overdue accounts.
- Generate periodic reports on tuition revenue, collections, and receivables.
- Work with Admissions, Registry, and IT units to ensure smooth student account setup and fee updates.
- Manage refunds, fee adjustments, and payment plan arrangements in line with policy.
- Provide frontline financial assistance and clarity to students and parents on fee-related matters.
- Support the Head Accountant in preparing monthly, quarterly, and annual financial reports.
- Assist in general ledger reconciliations and posting of transactions related to tuition and other university income.
- Help ensure compliance with financial policies, accounting standards, and audit requirements.
- Support cash flow planning and revenue projections.
- Participate in internal and external audit exercises as required.
- Ensure all transactions are accurately captured in the accounting and student management systems (ERP or equivalent).
- Maintain financial data integrity, ensuring completeness and correctness of billing and collection records.
- Collaborate with IT to improve automation of fee management and reporting systems.
- Recommend and implement process improvements to enhance transparency and efficiency.
- Liaise with students, parents, and staff courteously on all financial matters.
- Support Finance leadership in coordinating with banks, auditors, and regulatory bodies when necessary.
- Ensure alignment between student finance operations and institutional objectives.
- Bachelor’s degree in Accounting, Finance, Economics, or a related discipline.
- Minimum of 3 years of relevant post-graduation experience in a finance/accounts role, preferably within the public sector or an educational institution.
- Proficiency in accounting software (e.g., Sage, QuickBooks, SAP, or ERP systems).
- Strong understanding of financial reporting, reconciliation, and receivables management.
- Professional accounting qualification or student membership (ICAN, ACCA, etc.) is an added advantage.
