Job Description
Position Overview
- We are seeking a proactive and well-groomed Receptionist / Administrative Secretary with a minimum of 3 years of experience in the real estate, investment, or financial services sectors.
- The ideal candidate will be the first point of contact for clients, investors, and visitors, embodying the professionalism and warmth of our brand.
- This role combines front desk management with key administrative support functions, requiring excellent organisational, communication, and multitasking abilities.
Key Responsibilities
- Front Desk Management: Warmly welcome and receive all visitors, clients, and investors, directing them to the appropriate personnel or departments promptly and professionally.
- Telephone Handling: Operate the company switchboard, answer incoming calls courteously, screen and route calls appropriately, and take accurate messages when required.
- Client & Investor Reception: Provide exceptional first-impression service to high-net-worth individuals and corporate clients, ensuring a seamless and professional check-in experience.
- Administrative Support: Assist the executive and administrative teams with typing, filing, photocopying, scanning, and preparation of correspondence, reports, and presentations.
- Meeting & Appointment Coordination: Manage the scheduling of meeting rooms, coordinate appointments for senior management, and ensure refreshments and materials are prepared for client meetings.
- Mail and Courier Management: Receive, sort, and distribute incoming mail and packages; coordinate outgoing courier services and maintain delivery logs.
- Office Supplies Management: Monitor and maintain inventory of office stationery, pantry supplies, and other consumables, raising requisitions as needed.
- Database & Record Keeping: Maintain and update client and investor contact databases, visitor logs, and other administrative records with accuracy and confidentiality.
- Travel & Logistics Support: Assist in making travel arrangements, including flight bookings, hotel reservations, and transportation for staff and visiting executives.
- General Office Upkeep: Ensure the reception area, meeting rooms, and common areas are clean, organised, and presentable at all times, reflecting the company’s professional image.
Requirements
- Bachelor’s degree or HND in Business Administration, Secretarial Studies, or a related field. Professional certifications in office management or customer service are an added advantage.
- A minimum of 3 years of verifiable experience as a receptionist, front desk officer, or administrative secretary, specifically within the real estate, investment, or financial services industry.
- Excellent verbal and written communication skills in English, with a professional, courteous, and polished telephone manner.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with office equipment (printers, scanners, switchboards).
- Strong organisational and multitasking abilities, with keen attention to detail and the ability to work under minimal supervision.
- Impeccable personal grooming, presentation, and a professional demeanour suitable for a corporate environment serving high-end clientele.
- Must reside in Lagos and be willing to work on Lagos Island, with flexibility to occasionally work extended hours when required.
