Job Description
We are seeking to hire a highly organized and detail-oriented
Secretary & Immigrations Desk Officer
to provide dual-function support to our C-Suite leadership. This role is unique: it combines high-level executive administration with specialized oversight of immigration compliance, expatriate welfare, and telecommunications management, ensuring seamless global travel, regulatory compliance for our international workforce, and uninterrupted connectivity for the leadership team.
KEY RESPONSIBILITIES
- Manage executive calendars, schedule meetings, and organize travel arrangements (including visa and immigration-related documentation).
- Liaise with immigration service providers to ensure timely processing of work permits, visas, and compliance with regulations.
- Oversee contracts, service agreements, and account management with telecommunication service providers to ensure seamless connectivity.
- Prepare and review correspondence, reports, and presentations for executive decision-making.
- Maintain accurate and confidential records, ensuring timely Quota filing and retrieval of documents.
- Travel desk cost reconciliation on monthly basis to establish accurate balances and payables to consultants
- Expatriates & family medical coverage, cost management & bill reconciliations cum payment on monthly basis, and liaising with hospitals & Expats for verifications where necessary.
- CERPAC permit tracking, reporting & renewals following appropriate HR & Business Head approvals
REQUIRED SKILLS & QUALIFICATIONS
- Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
- Minimum of 3–5 years of experience as an Executive Assistant or Secretary supporting senior executives.
- Knowledge of immigration processes and vendor contract management is an advantage.
- Professional certifications (e.g., PA/EA Certification) is a plus.
- Strong organizational and multitasking skills with attention to details.
- Excellent verbal and written communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and digital communication tools.
- Ability to manage confidential information with discretion.
- Negotiation and vendor management skills (telecom and immigration services).

- Accuracy & Timeliness of Documentation – 100% compliance in immigration paperwork and reports.
- Meeting & Travel Coordination Efficiency – Zero missed deadlines and well-coordinated itineraries.
- Telecommunication Service Uptime – Maintain 99% connectivity by ensuring timely vendor management.
- Confidentiality & Compliance – No breaches of confidentiality or regulatory non-compliance.
- Executive Satisfaction Rating – Minimum score of 90% in quarterly feedback.
